Quotes, Invoices & Finance

The money side of the store — quotes that convert into invoices, sales, repairs, or bespoke jobs; invoicing with automated overdue reminders; expense logging with receipt upload; the Finance hub and the report surfaces; end-of-day cash and tender reconciliation. Quotes

Create a quote with line items and an expiry date, email it to the customer, and convert an accepted quote into an invoice, a sale, a repair job, or a bespoke job. Quote total is the pre-tax offer; tax is applied at the conversion step so the resulting invoice or sale carries the correct tax figures.

Invoices

Draft invoices that upgrade to the canonical INV- sequence on send, record full or partial payments against an invoice, track outstanding versus overdue. Automated overdue email reminders fire on a four-step sequence at days 1, 7, 14, and 30 past due via the daily cron — opt out at the tenant level if your follow-up workflow lives elsewhere.

End-of-day reconciliation

The /eod surface — counts the day's sales by tender (cash, card, transfer, voucher, layby, mixed), subtracts refunds, lets the cashier enter opening float and counted cash, computes the cash variance, and locks the day on submit. Single-location tenants close one drawer; multi-location tenants close per location.

Finance hub and reports

The /financials hub with the six-cell KPI strip (outstanding, overdue, paid this month, expenses, refunds, net revenue), top-5 overdue / upcoming due / recent payments panels, quick-action tiles into invoicing and expenses, and the embedded analytics dashboard. The five report surfaces under /reports — customer intelligence, supplier performance, expense report, stock movement — plus the headline /reports hub itself.

Expenses

Record a business expense with description, category (stock, rent, utilities, marketing, staffing, equipment, repairs, other), amount, expense date, supplier invoice reference, notes, and an attached receipt (JPEG, PNG, WebP, HEIC, HEIF, or PDF). Expenses feed the /financials net-revenue calculation and the /reports/expenses category breakdown.
